Knowledge Management to help with Information Overload

By: Clint Jhonson

Having too much information available is not always a good thing. Information Overload may actually cause one more problems than being helpful. The problem is the amount of information available at the tip of one’s fingertips. Each search of a word, phrase or topic on a web search returns within seconds with at least dozens of pages full of information. In reality at least the most important facts about a research repeats itself over and over again in the results of the search. Some of the information even contradicts itself and then one is faced with taking a decision about the data he or she finds.

Most of the people like to have information readily available. However with the amount of information produced, printed and listed on the Internet every day, Information Overload seems to become a more and more important issue in one’s life. Some of the main problems that arise are the fact that some of the data contradicts itself and it might end up being more confusing than helpful. This also mean that someone doing research or even simply trying to find out more things about a subject he or she is interested in, will actually waste more time trying to select the data and looking for cross references. In the beginning having more information more accessible in a very short period of time was what everyone wanted. Now, however; one seems to be looking for ways to avoid the Information Overload that proves to have more and more negative effects especially on the working people.

It seems that today instead of looking for information one is searching for ways to fight against the overload and its effects. Even though more data on a subject should be more helpful one now has to be very careful about the data and eventually needs more time to take an informed decision. Also because of the data overload it becomes easier for one to make more mistakes and to have problems when it comes of putting his research in a general perspective. The issue of data overload developed to such an extent that Knowledge Management appeared as a means to make less burdensome the overload problem. Some of the answers found to help with this issue and to be thought in as part of the Knowledge Management subject in some universities are both technological and individual related solutions.

Some of the solutions suggested are more advanced search engines, better filters in the email to avoid unwanted emails, and increased confidentiality when it comes to giving out personal information like mailing address, email address or even telephone numbers. Better presentation for the information is also suggested as well as more visual and graphic information rather than lengthily texts describing the data. On the individual side, Knowledge Management offers solutions like time management, stress management and learning how to access the information rather than trying to memorize as much as possible. One should try to know only things he or she needs to know especially when working on a task. Trying to do more things at once will not only interrupt one’s concentration but extend the time actually needed to complete the task.
